PA to Head of Departments (HODs)
- Calendar management for HODs
- Facilitate internal & external meeting arrangements (venue, refreshments, and other logistics)
- Coordinate travel arrangements / business trips
- Attend & take minutes of meeting for weekly / monthly meetings & assist to follow up on action items.
- Assist HOD on expenses & claim reimbursements
- Receive, monitor, organize and track documents to ensure proper handling with regards to approval, distribution
- Assist with preparation of presentations or documents.
Department Administrator
- Upkeep department administrative records in a timely manner (organization chart & headcount record, group email, Division Authority Matrix)
- Billing admin – To ensure payment request arrangement is made on time for department’s monthly & yearly subscriptions paid by company’s credit card
- Ideate, execute & coordinate department’s engagement activities in accordance with budget allocation.
- Assist to raise Purchase Request for OPEX items.
- Coordinate purchases of item to be delivered to department staff according to the occasion (gift for newborn /hospitalization/ death of family member)
- SPOC for department’s Risk Coordinator, IM & Privacy representative, and Business Continuity coordinator
- Support & provide team members with clarification on enquiries pertaining to any general or HR related enquiries.
